Kyocera MFP & Kyocera CentraQTM Pro Business Application Case Study

THE SITUATION
Successful administrators track their organization’s document flow, security and processes by device, user and function. Why? Because such methods are critical to maintaining a secure and e cient environment.

Take a regional bank in New England. It has ten branches and more than 140 sta members, and the employees were relying on a variety of networked competitive devices to scan, copy, archive, and send sensitive client records. Access to the devices was not restricted, which meant the bank’s internal data was unprotected, risking personal information leaving the institution.

The bank had been planning device upgrades a er the expiration of two key device lease terms. The IT administration was aware of new federal regulations requiring the safeguard of nancial records within their business processes. They began looking for a solution that would address all aspects of their document workflow, while limiting and tracking user access to nancial records, thus complying with the federal mandate.

THE CHALLENGE & THE SOLUTION
IT administrators investigated and learned the majority of competitive devices would require third-party products to provide them with the capabilities they needed. This would result in a disjointed solution from multiple vendors requiring additional maintenance contracts.

The bank’s Kyocera dealer proposed a network of 32 Kyocera color and monochrome multifunctional products (MFPs), each equipped with CentraQTM Pro. This powerful Kyocera-developed business application would help the bank monitor and restrict access by user and department functionality. CentraQTM Pro also has a Secure Job Release feature allowing users to authenticate and release their job from any networked Kyocera MFP.

The bank was so impressed with the Kyocera dealer’s level of professionalism and execution of a total document solution, they approved the proposal and had the dealership begin with the installation.

THE RESULTS
The dealer implemented the equipment in phases, rst equipping the bank’s headquarters and then out tting the satellite o ces by region. The administrators were instantly pleased with the smooth transition and change management process that gave them the enhanced visibility and security they were seeking.
