Innovative furniture leader moves away from the desk with MPS.

When this global leader was faced with print inefficiencies in its own environment, the company implemented a solution as advanced and streamlined as its products—Managed Print Services (MPS) from Xerox.

Form follows function. 

“We had several vendors supplying our printers,” says Nicole DeCou, Haworth’s Client Technology Manager. “We had a surplus of printers in several areas. Administrators were purchasing supplies from all different sources and maintenance was inconsistent. “Xerox inventoried our printers, looked at our supplies and came up with a plan to consolidate devices and centralize our support.”

After assessing Haworth’s complete print environment, Xerox created a solution that mirrored the company’s new way of working. Scott Salas, Haworth’s Indirect Commodity Manager, explains: “We had moved from cubicles to an open, collaborative environment. Instead of individual printers in the collaboration areas, we put multifunction devices in print rooms where they can be shared.”

Save money, time and trees. 

“Managed print really works,” says Salas. “We eliminated a lot of unnecessary printers and our service is much more cost-effective. We also have the data we need to manage our fleet more efficiently. We’re doing more with less and significantly reducing our print costs.”“By minimizing the number of suppliers and transactions and phone calls we deal with, Xerox has given us back time that we can devote to other projects.”

Adds DeCou: “It’s saved about 20 percent of the workweek because IT isn’t focusing on repairs and contacting vendors. Instead, it’s all under one contract with one number. It’s nice to be able to take something off someone’s plate for a change.” It also speaks to our green initiative. Our printers have solid inks, which reduce landfill waste by about 90 percent. We’re using less paper. We’re shipping supplies back to Xerox for recycling. And we’re converting more documents to digital, creating paperless workflows to optimize our effectiveness.”

Better in-house printing yields greater internal demand. 

In addition to centralizing its print operations, Haworth upgraded its in-house print center with a high-quality Xerox® color printing system. “Salespeople are coming to us with projects they would normally outsource,” states David Houghtaling, Print Mail Production Supervisor at Haworth.

“They know we produce it better, faster and cheaper. We’re printing over a million and a half pages a year. In the past, we were half that.”

A few examples? Black-and-white instruction sheets printed on demand, short runs of booklets with one-day turnaround, and high-end color pieces, such as an award- winning “scratch-off” brochure for the California lottery.

Award-winning innovations: mobile and more. 

Just as Haworth incorporates new technology into its furniture design, Xerox integrated mobile print technologies into the firm’s MPS solution. Consequently, Haworth employees and vendors can wirelessly print from any email-enabled laptop, tablet or smartphone.

“Mobile is important to us because we’re global and on the move all the time,” Salas offers. “It’s very effective for our sales force and others to be able to print from any device, no matter where they are.”

Haworth was so pleased with mobile print— and MPS in general—that the company recognized Xerox with a Haworth Supplier Innovation Award. According to DeCou:

“Whether mobile print or sustainability or cost-effectiveness, it’s been a great solution for us. It’s a very good partnership and Haworth was happy to recognize the many innovations of Xerox.”
